5. Sharing Knowledge, Brand Voice and Skills

Set up team-wide shared resources — knowledge bases, your company Brand Voice, and admin-published skills — so every member works with consistent grounding and style.

OUPI lets you share three foundational resources across your entire team: knowledge bases, your company Brand Voice, and admin-published skills. When these are set up, every team member's AI interactions are grounded in the same reference material and styled with the same voice — no more inconsistent outputs or one-off instructions. As the team admin, you control what gets shared, ensuring alignment from day one for every new member who accepts an invitation and occupies a seat.

Knowledge bases are shared collections of documents and data (sometimes called RAG shares) that the AI can reference when answering questions or generating content. By sharing a knowledge base team-wide, you ensure every member's AI responses draw on the same verified company information — product specs, policies, guidelines — rather than relying on generic training data. This is especially valuable for teams where accuracy and consistency matter, such as support, sales, or compliance.

Brand Voice is a company-level style profile that shapes how the AI writes for your team. Once you configure it in Team Management, every member's AI output — emails, reports, chat replies — follows the same tone, vocabulary, and style conventions. This eliminates the need for each person to manually prompt for brand-consistent language and keeps external communications uniform across the organization.

Admin-published skills are reusable AI capabilities that you, as the team owner, create and share. Think of them as pre-built workflows or prompt templates tailored to your business needs — for example, a skill that drafts customer responses using your knowledge base and Brand Voice together. Once published, every team member can use these skills without needing to build their own, saving time and ensuring process consistency.

Keep an eye on your team's usage overview to see which shared resources members actually use and which tools drive the most credit consumption. This helps you decide where to invest in better knowledge bases or refine your Brand Voice. Remember, credits are only debited on successful operations, so experimentation is low-risk.

Go to Team Management now. Check that at least one knowledge base, your Brand Voice, and one admin-published skill are configured and shared with your team. If any are missing, set one up — then ask a team member to verify they can see and use the shared resource.
