Creative Suite Essentials: From First Design to Published Content · Lesson 6 of 7

6. Organizing, Exporting and Sharing

Use folders, favorites and duplication to stay organized, then export designs as PNG, JPG or PDF and share them with your team.

Your Creative Suite gallery is more than a list of designs — it's a full file-management workspace. You can create folders to group projects (e.g., "Q3 Campaign," "Social Posts"), mark frequently used designs as favorites for quick access, and duplicate any design to create a variation without touching the original. You can also rename designs so they're easy to find later. Because every design is also a file in your OUPI file space, it can be reused in the chat or in a mission — keeping everything connected across the platform.

Tip

Adopt a naming convention early — for example "[Client] – [Format] – [Date]" — and sort designs into folders as you create them. This small habit saves significant search time as your library grows.

When your design is ready, open the Export option. You can choose between three formats:

PNG – best for web graphics and social media (transparent backgrounds supported). • JPG – lighter files, ideal for photos and email visuals. • PDF – perfect for print-ready posters, decks and multi-page documents.

If your design is large or multi-page, the export runs in the background. OUPI will notify you as soon as the file is ready to download — no need to wait on the screen.

To let teammates view or edit a design, use the Share function. It generates a link to the design; any team member who receives it can open it directly from the shared folder. This is especially useful for review cycles — a colleague can open the shared design, suggest changes, or duplicate it to create their own version while keeping the original intact.

Tip

Before sharing, duplicate the design and name the copy with a version number (e.g., "v2-review"). That way, feedback and edits happen on the copy, and your approved version stays safe.

Try it now

Go to your Creative Suite gallery. Create a new folder called "Training." Move or duplicate an existing design into it, mark it as a favorite, then export it as PNG. Finally, use the Share function to generate a link you could send to a colleague.

Take this course in OUPI → This exercise is done inside the OUPI platform.
Recap

You now know how to keep your Creative Suite tidy and get designs out the door:

Folders, favorites, duplicate & rename keep your gallery organized. • Export delivers PNG, JPG or PDF (large files process in the background). • Share creates a link so team members can access the design from the shared folder. • Every design is also a reusable file across OUPI — in chat, missions and beyond.
