4. Monitoring Team Usage and Adjusting Allowances
Use the team usage overview to see who consumes what and which tools are used, then adjust allowances to match actual needs and control costs.
As a team owner, OUPI gives you a usage overview directly inside Team Management. You can see who consumes what and which tools each member is using. This visibility is essential: it lets you spot heavy consumers, identify underused seats, and understand where your team's credits are actually going. Think of it as your control panel for team spending — without it, you're distributing credits blindly.
Team credits come from a shared allowance tied to your plan. As the administrator, you distribute monthly credit grants to each member, and those grants are drawn from the team plan automatically. Each member's AI usage — chat messages, generations, agent missions, media jobs — consumes their allowance. A member's balance can combine both a personal allowance and a team allowance, so keep that in mind when reviewing consumption figures.
Not all usage costs the same. Long conversations with frontier models, agent missions with many work rounds, document generation, and media jobs (images, video, audio) are the heaviest credit consumers. Each mission and each media job shows its exact cost afterwards, so you can trace spikes back to specific activities. When reviewing your team's usage, look for these patterns first — they're where adjustments will have the biggest impact.
A well-briefed, focused agent mission costs far less than a vague one that runs many rounds. Encourage your team to write clear goals before launching missions — it's the cheapest optimization you can make.
Once you've reviewed the usage overview, adjust allowances to match reality. If a member barely uses their credits, reduce their share and redistribute to heavier users. If the whole team is running low, consider upgrading your plan — upgrades apply immediately and the new allowance follows your billing cycle. Downgrades, on the other hand, only take effect at the next renewal. You can also free up seats by removing inactive members, which ends their access to team-shared resources while keeping their personal content intact.
Check your credit balance in the top bar regularly. If the team is running out before renewal, you can upgrade the plan or wait for the monthly reset. Members who run out individually should contact you — as admin, you control their team allowance.
Open Team Management now. Review the usage overview: identify your top three credit consumers and the tools they use most. Then check whether any member's allowance looks too high or too low relative to their actual consumption, and adjust at least one allowance accordingly.
